Job-Dox manages their Encircle integration. Any questions or issues that arise with this integration are best addressed to the Job-Dox team.

Enabling the Integration
To connect your Encircle & Job-Dox accounts, follow these steps in Job-Dox:
- From the home page, open the Advanced Tools menu.
- Select Settings.
- Select the Integrations tab.
- Under Field Tools, find Encircle and click Enable.
- Once enabled, click Settings.
- Paste your Encircle bearer token into the field.
- Click Save.
Integration Preferences
Once you have enabled the integration and connected your Encircle account using your Encircle bearer token, you can set up some user preferences that will control how Encircle & Job-Dox share information.
- Click Preferences from the right side menu.
- Make your selections and click Save.
Here is a rundown of the options:
Auto-Tasks Controlled |
Will enable Job-Dox’s business process tool called Auto-Tasks to determine when to push a job to Encircle instead of pushing the job automatically. |
Only sync jobs once they stop being a LEAD status | If you disable Auto-Tasks Controlled, this setting will be enabled by default. Unchecking this box will cause the project to push to Encircle as soon as it’s created. |
Add Job ID to Encircle | Controls how the Job-Dox project ID is added to the Encircle claim/job number. |
Work Types | Select the job types that you wish to automatically push to Encircle. |
Linking Staff
If you have staff members that are users of both Job-Dox and Encircle, you can link them up so that these linked staff members can be on the project/claim in both applications. Any staff member in Job-Dox that is linked to the project there will be automatically added to the claim in Encircle.
To link staff members:
- Open the Staff tab.
- Click Search next to the user you wish to link to Encircle. Job-Dox will find that user in Encircle and link them up.
Linking Jobs
Projects push to Encircle in one of three ways:
- Using the “Lead” indicator. When something changes the job status from Lead to anything else, it’ll create the claim in Encircle, which automatically links the appropriate staff (assuming it is a supported Work Type).
- Using Auto-Tasks, you can make that happen whenever you want. For example, when staff arrives onsite, equipment is dropped, a work authorization is signed, etc. When the event occurs in Job-Dox, it triggers the process.
- You can manually push a job to Encircle under the integration settings. *Note that you should not generally need to do this.
- Cases where you might opt to manually push a job:
- The project didn’t have the selected work types early in the job process, so someone created the claim in Encircle and started documenting. In this case you just need to link up to it.
- You created the claim through the normal processes, but duplicated the Job-Dox project for accounting reasons, so you might want to change which project the Encircle claim is linked to.
- You didn’t have the integration enabled before, but you have projects in both places, and are hoping to create links for existing projects.
- Cases where you might opt to manually push a job:
To manually push your Job-Dox jobs to Encircle:
- Under Encircle Integration Settings, open the Jobs tab.
- Click Link next to the job you wish to connect to Encircle, then click Push. The system will find that claim file in Encircle and link them up so that Encircle data can start automatically syncing back to Job-Dox.
Job-Dox regularly fetches photos and pdf reports from Encircle and brings them back into your Job-Dox file. If a project has fallen out of sync for any reason, you can sync your Encircle data in one go, by clicking Sync.
