Requesting Photos & Document Signatures (Mobile App)

Encircle Link enables policyholders, sub-trades, or other third parties to share photos and videos with you and sign documents remotely. Link recipients won't be required to download or sign into anything.

Link can be used at all stages of a job:

  • On the frontend to assess the loss
  • During the job, to manage client concerns or complaints
  • At the end, to wrap up your completion paperwork

Sending a Policyholder Link

  1. Tap on the Share tab of a claim.
  2. Tap the Add Link button.
  3. Select a Delivery Method. You can send a link via email, SMS, or both. 
  4. The Policyholder Details will auto-populate with the information entered in the claim or it can be modified.
  5. Under Select Room(s), choose the specific rooms you need to include in the link.
    • By default, a room called Policyholder Photos and Videos will be selected. This will prompt your client to add photos and videos; deselect if that request isn't required.
  6. Add Documents to the request. You can add an existing report or create a new one by clicking Generate Report
    • If a form requires a signature, you will need to sign it before sending. To add a signature, click Preview & Sign.
  7. Once all required fields have been updated, tap Share in the top-right corner.
  8. Tap Edit Link to send a new request. 

Your client will receive a message prompting them to open a link, after which they will be asked to take photos and/or sign documents. 

As your client works through their assigned tasks, you will receive real-time notifications tracking their progress. You'll be alerted exactly when a task starts and when it's completed. 

  • Tap on an incoming Notification to view a client's photos and documents. 

 

Sending a Link to a Third Party

Link can also be handy for third parties, such as sub-trades, property managers, etc. You can have as many Link recipients as needed on a claim. 

  1. Tap on the Share tab of a claim.
  2. Scroll down to the "Link" section and tap the + icon beside "Send Link".
  3. In the "Send Link" window, update the fields.
  4. Select Room(s) and Add Document(s).
  5. Tap Save when you're ready to send the request.
