How do I enable Xactimate integration?
First you will need to enable Encircle as a data provider in Xactimate - this is done by sending a request to Verisk. Then you will need to enable the Verisk integration in your Encircle organization settings. Instructions for this can be found here.
Where do I get my XactNet address?
You can find your XactNet address by clicking the Account icon in Xactimate. For enabling the Verisk integration in Encircle, you will only need the portion after the @ symbol.
Is there any way to know that the integration has been set up by Verisk?
After you send the request to Verisk to set up the integration, you can expect to wait approximately 24 hours. You will receive an email from Verisk confirming that the integration has been set up and Encircle will now be available as a data provider when you start a property data request in Xactimate.
How many Xact accounts can I connect to my Encircle account?
You can connect as many Xact accounts to your Encircle account as needed.
Which version(s) of Xactimate support this feature?
We will support data requests from both Xactimate Online and Xactimate Desktop, but there are minor differences in the experience for the user. The information that needs to be provided is the same.
*Xactimate Desktop had an update on September 12. Make sure that you are on the latest version of desktop in order to ensure successful data requests.
How do I import an Encircle Floor Plan into Xactimate?
Importing a floor plan is a quick two-step process. First you'll create a data request to pull the Encircle measurement data into Xactimate. Then you'll open up the estimate and convert that data into a sketch. You can find instructions here.
Can I do a property data request while the Xactimate file is open?
No. The Xactimate file must not be ‘checked out’ or open to do a successful data request. The user will get an error that the request cannot be completed. Close the Xactimate file and make the request again.
What does it cost to import a Floor Plan into Xactimate?
Each successful data import will incur a $10 charge.
How long does it take to bring a Floor Plan into Xactimate?
It takes about 90 seconds to 2 minutes for Floor Plan data to flow from Encircle to Xactimate once a data request is made. Afterwards it’s just a matter of opening the sketch and importing the data, which takes around 10 to 30 seconds. Overall the import process is very fast!
What if a job has multiple floors in the Floor Plan?
If the job has a Floor Plan (i.e. one scan) that contains multiple floors, all of the floors will be brought over into Xactimate and converted into Xactimate sketches. Each floor will show up as a level in Xactimate. There is no way to only bring over a single floor from a Floor Plan scan into Xactimate.
What if a job has multiple structures, each with its own Floor Plan?
If a job has multiple Floor Plans (i.e. multiple scans), each Floor Plan will have to be brought over into Xactimate using a separate property data request. Remember that each property data import incurs a $10 charge, so importing multiple Floor Plans into Xactimate will incur additional charges.
Are there any properties that won’t work to convert into an Xactimate sketch?
Floor Plan is guaranteed to work on all properties to a maximum of 10,000sq ft. At this point, we are not aware of any specific instances that will not be possible to convert to a sketch in Xactimate. We have successfully tested it on some of the most complex properties, including those with curved and/or angled walls, indoor pools, etc.
The Xactimate sketch imported serves as a framework from which adjustments can be made to get to a final sketch.
Will fixed features be converted into Xactimate?
No. Fixed features (e.g. bathtubs, countertops, appliances, stairs etc.) that are present in the Floor Plan will not be converted into Xactimate. It will only convert walls, windows, and doors.
Will stairs and stairwells show up in the Xactimate sketch?
At this time, Xactimate does not support the ability to convert stairs/stairwells. We are working with Verisk to support this functionality in the future. In the meantime we suggest adding a square or rectangular representation of the stairs to your sketch in Xactimate if you wish to include that in your sketch for subtracting calculations from flooring, etc.
Does the Xactimate sketch file created account for ceiling, door, and window heights?
No. Ceiling height will always default to 8ft. Windows will default to 3ft off the ground and 4 ft height. They will also default to rectangular picture windows. The user can make any needed adjustments in Xactimate once the floor plan is imported into a sketch.
How will I know if a sketch has failed?
You will receive a notification in Xactimate if your data request has failed. In most cases, this notification will include some detail about why the request has failed. Here are some examples of import errors:
- Contact is not shared on the claim. To fix this, ensure that the contact email entered matches someone who is shared on the Encircle claim.
- Floor Plan ID is incorrect. To fix this, ensure that you copy the Floor Plan ID from Encircle into the Claim ID field in Xactimate. Copy it exactly as it appears in Encircle (example: "FP-26832").
- XactNet address is not registered with Encircle. To fix this, make sure you have contacted Verisk to set up Encircle as a data provider and activated the integration in Encircle. See this help article for instructions.
What do I do when it fails?
If the error can't be resolved using the steps mentioned above, reach out to us at support@encircleapp.com and we will look into the issue. Please include a screenshot or picture of the error message if possible, along with the claim and floor plan ID.
*Note that any floor plans older than August 9, 2023 will not import into Xactimate.
Will I get charged if it fails?
No, you will not be charged if your data request fails.
Can I get a refund if the sketch isn’t accurate?
It is the responsibility of the user to verify and validate the accuracy of the Encircle Floor Plan measurement data before importing into Xactimate. Once the data request has been successfully completed (i.e. the Floor Plan has been sent to Xactimate), the $10 charge will be applied and is not refundable.
If changes to measurements/dimensions are required to the Floor Plan, this should be done with a fix request in Encircle before importing it into Xactimate.
Note that once the floor plan is imported, you will have the ability to work with the sketch in Xactimate, just as you would with any sketch. This means you can update measurements directly in Xactimate after the import. Just know that any such changes in Xactimate will not automatically update in the Floor Plan back in Encircle.
Can a 3rd party estimator access the Floor Plan ID to create an Xactimate sketch?
In order for a 3rd party estimator to import an Xactimate sketch from a Floor Plan created by their client (the restorer), they must:
- Be shared on the claim.
- Have Xactimate integration enabled in their own Encircle account.
- Use the Floor Plan ID available in the shared claim.
- Enter their own email address in the data request (because they were shared on the claim).
What if my 3rd party estimator doesn’t want to pay for the Xactimate sketch? (i.e. they want me to import the sketch into Xactimate and share it?)
We suggest one of these two options:
- You import the floor plan into an Xactimate file (ESX), then export and share that Xactimate file with the estimator.
- The estimator creates the Xactimate file (ESX), exports and shares it with you to open in Xactimate. You import the sketch, and then send the entire ESX file back to the estimator.
