In this article we'll discuss how to create a claim in the Encircle web app. If you are importing claims from XactAnalysis or from another software, please refer to our documentation on External Assignments or various software integrations.
To add a new claim, start by clicking Add Claim at the top right corner of the inbox.
You'll be prompted to enter information about the policyholder and the loss. You don't need to have every field filled out - you can enter whatever information you have at the moment and go back and add more later.
However you will need to fill in at least one of the Claim Identifier fields. This is how the claim will be labeled/identified in the job list.
- Carrier Identifier: typically the Claim # as assigned by the insurance carrier
- Contractor Identifier: typically an internal Job # assigned by you (the contractor)
- Assignment Identifier: typically matches the assignment number from XactAnalysis
If you're not sure, enter a Name/TBA and update it later.
Next, fill out the additional Claim Details as needed.
Next you can set up the structures and rooms on the loss. If you already know which rooms are affected, you probably want to go ahead and add them to the claim here. Otherwise your field team can do that when they arrive on site.
Structures are buildings or units. Each structure can hold as many rooms as needed. On a large multi-unit or multi-building loss, you will probably want to set up multiple structures.
By default each job will have a structure called Main Building. For a residential or single-building loss, this is fine. You can go ahead and start adding rooms by applying a room template or typing them into the rooms field and hitting Enter. Additional rooms can be added to the job at any time.
Under Claim Totals, you can enter information related to contents pricing (sales tax, default depreciation, and max depreciation).
Under Claim Estimates, you can set a currency for the job (if you plan to do contents pricing) and enter some dollar value figures for estimates and reserves if you have them.
When you've finished entering the claim details, click Create Claim. The new claim will open up and your team can begin working out of it. You can edit the claim details at any time by clicking the pencil icon up top.
