Introduction
Welcome to Encircle! In this guide, we'll walk you through the process of bulk uploading equipment lists using our platform. By following these steps, you'll be able to efficiently manage your inventory with ease.
Prerequisites
Before you begin, make sure you have:
- An active Encircle account with Admin permission levels
- Familiarity with your equipment details, including manufacturers, model numbers, and asset IDs or tracking numbers
Step 1: Accessing the Equipment List Template
Open your organization's Organization Settings (the gear icon on the left side of the web app), then select Equipment. Click Import from Excel and download the template.
Step 2: Filling Out the Template
Open the copied equipment list template. Begin filling out the template with your equipment details:
- Select both manufacturers' names and model names from the drop-down menus in the cells of the Excel sheets.
- If a manufacturer or model you are seeking does not in the sheet, email support@encircleapp.com with a link to the unit so that we can add it to the system for you.
- Provide accurate model numbers.
- Assign asset IDs or tracking numbers to each item.
- Encircle accepts equipment types: Dehumidifiers, Air Movers, Air Scrubbers, Heaters, Dryers and Other. Be aware of which tab in the template you are using.
Step 3: Uploading the Equipment List
Once you've completed filling out the template, save your changes.
Return to the Organization settings and go to Equipment again. Click Import from Excel, and attach the template you filled out. Click Save & Import.
Note: After you upload, it’s up to you to manage your own equipment list!
Tips for Successful Uploads
- Ensure all information provided in the template is accurate and up-to-date.
- Double-check manufacturer and model numbers against factory specifications for precision.
- Use unique asset IDs or tracking numbers to easily identify and manage your equipment.
