Stripe Account Setup Guide

In this article:

To activate Encircle Payments, you will be prompted to create a Stripe account. This account is free and there is no charge or subscription costs associated with it. For in-depth information about this process and why you’re prompted for various details, refer to Stripe’s documentation.

As part of this process, you will be asked to provide information about your business, your products and services, and your personal relationship with your business.

This process should be completed by someone who has the authority to represent the organization and is a primary contact for the account. Whoever does this will be designated as the account representative for the Stripe account (which can be changed later if needed).

Before You Start

Before you get started, make sure you have these things ready:

To complete your business profile:

  • Business type and structure
  • Tax identification numbers (EIN for the US and BN for Canada)
  • Business name and general info

To designate a business representative and any owners or directors

  • Legal name
  • Home address, email address, and phone number
  • Job title
  • Date of birth
  • For the business representative:
    • Last four digits of SSN (US only)
    • Have a government issued ID ready

To connect your bank account:

  • Transit number
  • Institution number
  • Account number

Download a free authenticator app on your phone if you don’t already have one. Google Authenticator, Microsoft Authenticator, and Authy are the most popular options. You’ll need this later to set up two-step authentication for your Stripe account.

 

Getting Started

  1. From the Claim Inbox, click the Payments tab.
  2. Click Begin Payments Setup with Stripe.
  3. Fill in some basic organization info.
  4. Click Continue to Payments Setup. This will launch Stripe’s setup wizard.

The first thing you’ll do is create your Stripe login.

  1. Click Add Information.
  2. Enter an email address and click Submit. Use the same email address that you use for Encircle.
  3. Create a password and click Submit

You will need to use your authenticator app to set up two-step authentication. Open your authenticator app and add a new account - there is usually an “add” or “+” button somewhere on the home screen for this.

Either scan the QR code on your computer screen or enter your code manually.

Once that’s done, your Stripe account is secured and Stripe will provide you with an emergency backup code that you can use in the event that you are locked out of Stripe.

Stripe Business Profile Setup

Business Type

Enter your business location, business type, and business structure.

Business Details

Enter the business’ legal name, registration number (and DBA name if applicable), business address, business phone number, industry, website, and product description.

Business Representative

  • Enter your legal name, email address, job title, date of birth, home address and phone number.
  • Indicate whether you are an owner or director/member of the governing board for the company. Depending on your response, you may be required to fill out some additional information.

Business Owners

You will need to enter the information of your business owner(s). *Note that this does not set them up with a Stripe account. You are simply listing them for informational purposes.

You will need to enter the information of your business directors not already listed. *Note that this does not set them up with a Stripe account. You are simply listing them for informational purposes.

Bank Details

You will need to connect your bank account to Stripe to receive payouts.

Public Details

These details will appear publicly on customers’ bank statements, receipts, etc. Make sure that this information is clearly associated with you. If your customer can’t recognize one of your payments, they might dispute it.

Review & Submit

Before completing the process, you will have the opportunity to review the information you’ve entered. *You can update this information later on if anything changes or you have missed someone.

When you’re ready, click Agree and Submit.

Stripe will take a few moments to save, and then you’ll be redirected back to Encircle.

Verifying Your Information

Once your business profile is complete, Stripe needs to verify your identity and contact info.

Stripe will have sent you an email to verify your email address. Open up the message and click Verify Email.

Identity Verification

You will also need to verify your identity with Stripe.

  1. From the payments tab in Encircle, open the Stripe Dashboard.
  2. At the top of the page where it says “provide proof of liveness”, click Start.
  3. This will take you to the business settings page. Scroll down and click Edit next to your name.

  4. There are 2 ways to provide ID verification
    • Liveness Verification: uses your ID photo and a selfie. Verification is immediate
    • ID and Home Address: uses 2 forms of ID showing your home address, e.g. drivers license and passport. Verification takes 1-2 days.

For our example we’ll do immediate verification.

  1. Click Scan Photo ID.
  2. Click Agree and Continue on the pop-up window.
  3. Scan the QR code on screen to launch the process on your phone.

  4. Scan the front and back of your ID.

  6. Back on your computer, the process will complete automatically.

When you return to Encircle, you should have full access to the Payments tab features.

Accepting Apple's Terms & Conditions

If your team will be using Encircle Payments on any iPhones, an admin user from your organization must accept Apple's Terms & Conditions on an iPhone. This only has to be done once for the org and takes just a few moments.

To do this, open up the mobile app on your iPhone and follow these steps:

  1. Open the Settings menu.
  2. Select Get Started with Tap to Pay on iPhone.
  3. Review the terms and conditions and click Agree
