Importing an Encircle Floor Plan into Xactimate

Once you've enabled Xactimate integration, you will be able to perform a Property Data Request from Xactimate to import an Encircle Floor Plan and convert it into a Sketch.

Making a Data Request

This process is essentially the same for both Xactimate Online & Xactimate Desktop.

  1. Select the project where you want to import an Encircle floor plan.
  2. Click on the Data Request icon to start the Property Data Request. [Xactimate Desktop users will also need to select New Order].

  3. The data request page will open in a new tab of your internet browser. [Xactimate Desktop users will be prompted to log in upon opening the browser]. Click the Request Service dropdown and select Interior Walls

  4. On the confirmation screen, enter the following pieces of information:
    1. Enter in the Floor Plan ID from Encircle as the Claim Number.
    2. The Address should autofill from the Xactimate project, but if not, enter it here.
    3. The Claim Representative email address must be an Encircle user that is shared on job in Encircle.
  5. Click Submit

Importing the Sketch into your Estimate

Once the Encircle Platform receives the request, we will process it right away (within 90 seconds to 2 minutes). Encircle will send the property measurement data to Xactimate and surface a notification (in the upper right hand corner). You may need to refresh the page to see it.

Next, follow these steps to import your sketch:

  1. Open the project in Xactimate and navigate to the Sketch section of the estimate.
  2. Click the Data Import icon (the yellow icon that appears in the upper left hand corner of the sketch). 
  3. This will open a list of all of the requested data that have been sent to this specific Xactimate File. Your floor plan data will be selected by default. Click Import

  4. Xactimate will process this data and automatically generate a sketch - complete with measurements, doors, and windows. From here, you can work with it as you would any sketch. 

    *Ceiling height will always default to 8ft. When height and elevation measurements are available for windows, the system will use those. Otherwise, windows will default to 4 ft height and 3 ft elevation.

Fixed Features & Reference Blocks

Fixed features such as cabinets, countertops, sinks, and toilets will be represented as reference blocks, which you can see in the 3D viewer.

Fixed Feature Height

Encircle takes the height data generated from the floor plan scan for fixed features and validates it against standard tolerances. If a measured height is within 5% of the expected standard, we snap to the standard to keep your sketches clean. If it falls outside of that range, we use the actual measured value. 

Features with a high degree of variance such as refrigerators and fireplaces do not have a set standard height and will default to the captured height, if available from the scan. When unavailable, those features will be represented as reference areas.

Dimensions, behaviour, and any other parameters of a reference block can be edited. 

By default, reference blocks aren't removed from the estimate calculations. If you need to exclude a specific reference block from calculations, open its properties and make your adjustments.
